Starting a Private Practice Timeline: 90-Day Launch Checklist for Therapists
Starting a private practice can feel like there are too many moving pieces happening at once. Legal setup, finances, marketing, systems, and clients all seem to overlap, which is why many therapists stay stuck trying to “figure it all out” before taking action.
But when you break the process into a clear timeline, it becomes much more manageable.
This is not about doing everything at once. It is about doing the right things in the right order.
In case you are new here, I am Alicia, a business coach for therapists, and I support therapists in building private practices that feel structured, sustainable, and aligned with real life. If you want a full roadmap beyond this checklist, you can explore my How to Start a Private Practice course.
90-DAY PRIVATE PRACTICE LAUNCH CHECKLIST
PHASE 1: FOUNDATION (Days 1–30)
Set up your business and financial base
Legal + Business Setup
- Register your business name and structure
- Apply for your EIN
- Open a business bank account
If you are unsure about the initial investment, review your private practice opening costs before committing.
Insurance + Protection
- Get professional liability insurance for therapists
- Confirm license requirements for your state
Financial Setup
- Create your private practice budget template
- Estimate monthly expenses and minimum income
Pricing Structure
- Set your session rate
- Decide: private pay vs insurance. If you are considering insurance, review insurance credentialing for therapists before applying.
PHASE 2: STRUCTURE + SYSTEMS (Days 30–60)
Build the infrastructure of your practice
Office + Practice Setup
- Decide: telehealth, hybrid, or in-person
- If in-person, secure your therapy office space
- Set up a basic office or virtual environment
Systems + Tools
- Choose an EHR platform
- Set up scheduling + payments
- Create intake forms
Policies + Boundaries
- Create your therapy cancellation policy
- Define session expectations and agreements
Income Planning
- Map out your weekly caseload
- Calculate income using the session rate
I recommend using the same structure I explained in
how to make 6 figures as a therapist, so your numbers are intentional.
PHASE 3: VISIBILITY + CLIENTS (Days 60–90)
Start getting clients and building consistency
Marketing Foundation
- Create your website (simple, clear)
- Optimize directory profile (Psychology Today)
This is where marketing your therapy practice becomes essential for client flow.
Referral Network
- Reach out to therapists, doctors, and contacts
- Let your network know you are accepting clients
First Clients
- Start booking initial sessions
- Focus on consistency, not volume
Track Your Numbers
- Monitor inquiries → bookings
- Adjust pricing or strategy if needed
A simpler way to approach your first 90 days
You do not need to have everything figured out before you start.
You need a clear sequence.
When you focus on one phase at a time, the process becomes manageable, and your practice builds momentum naturally.
If you want a step-by-step structure like this, but with guidance on exactly what to do at each stage, there is a simpler way to approach it.
In my How to Start a Private Practice course, I guide therapists through this entire process so you don't have to piece it together on your own.
If you are ready to launch your practice with clarity and structure, you can enroll today and get started.
